Job Description
Job Title: Administrative Secretary
Responsible To: Services Manager
Salary: £14,982 to £16,305 (point 15 – 19) pro rata
Working Hours: 21.75 hrs per week (Wednesday to Friday)
Special Conditions: Although based in Norton Park, one day per week to be based in our Cambridge Street office.
Job Summary - To be the first point of contact for all callers to Edinburgh Support Services and to provide administrative support to allocated managers and other staff.
Responsibilities
· Answer incoming calls and greet visitors to the office/s.
· Prepare and submit invoices for payment for services to funding bodies.
· Maintain computerised and paper records.
· General secretarial and administrative support including word processing, spreadsheets, database, photocopying, distributing documents and filing.
· Typing of correspondence, minutes, reports and other documentation.
· Maintain and update the area budget spreadsheet.
· Attend meetings and take minutes as required.
· Maintain the general office diary.
· Order and maintain office supplies.
· Contribute to the organisation of events as required.
· Undertake such other duties as may be require by your line manager.

Technical Skills Essential· Excellent keyboard skills.· Experience using a range of software packages including Excel, Outlook, Word and Access.· Good communication skills.· Excellent interpersonal skills.· Experience of creating and managing spreadsheets.· Experience of managing databases.· Ability to maintain accurate records and prepare complex statistical information.Desirable· Experience of desktop publishing and presentation packages.
